These Terms govern the use of the Airsoft Online Japan website, event bookings, Elite Membership, donations and related services.
By creating an account, booking an event, purchasing Elite Membership, making a donation or otherwise using AOJ services, you agree to these Terms. If you do not agree, you must not use the services.
FOUNDATIONAL TERMS
Introduction and Definitions
Airsoft Online Japan, the operator of the website and organiser or coordinator of AOJ community events.
The person creating an account, booking an event or otherwise using AOJ services.
A personal registered user account on the AOJ website.
Any game day, training day, social event or other activity listed on the website that accepts bookings.
A reservation for participation in an AOJ Event.
The paid annual membership plan offered by AOJ.
A voluntary contribution made to support AOJ.
The logged-in page showing a member’s booking status.
The visible five-star member-standing indicator shown on a member profile.
ACCOUNTS & RESERVATIONS
Account and Booking Requirements
ACCOUNT REQUIREMENTS
An account is mandatory
- Guest bookings and guest checkout are not permitted.
- You must provide accurate and current account information.
- Accounts are personal and may not be shared.
- Sharing login credentials is prohibited.
- You must have legal capacity to enter into binding contracts under applicable law.
- Any age requirement stated on an Event page applies and may be checked at the venue.
CONFIRMATION RULE
When a booking is confirmed
A booking is confirmed only when either:
- payment has been completed in full; or
- the My Bookings Page displays the booking status as Confirmed.
AOJ may refuse participation where a member arrives without a confirmed booking, including when the Event is sold out, capacity-limited or subject to a pre-submitted venue list.
Unless an eligible Elite benefit applies, bookings must be paid by the deadline shown on the Event page or invoice.
Accepted payment methods are shown during checkout or otherwise communicated by AOJ.
Bookings may not be transferred unless AOJ provides written approval for the specific Event.
The normal method is to cancel the original booking, subject to the refund rules, and make a new booking subject to availability.
CANCELLATIONS
Event Cancellation and Refund Policy
You must cancel through the cancellation function on the My Bookings Page or the dedicated Cancellation page. Cancellations sent through other methods will not be processed.
A cancellation is effective only after the booking status has been updated or cancellation confirmation has been issued.
Refund processing
Refunds will normally be returned to the original payment method. Where this is not practical, AOJ may use a reasonable alternative method.
AOJ will process an approved refund within seven days. Additional bank or payment-provider processing time may apply.
Why cancellation fees apply
Cancellation fees reflect venue commitments, capacity planning, operational costs and administrative work already completed in preparation for the Event.
Failure to attend without completing the required cancellation process is treated as a late cancellation or no-show.
EVENT OPERATIONS
Changes, Venue Rules and Organiser Cancellation
Changes to Event details
AOJ may make reasonable changes to an Event’s timetable, scenario structure, rules or minor logistics for safety, weather, venue, staffing or operational reasons.
Independent venue and field rules
Many AOJ Events are held at independently operated venues. The venue’s own rules and staff instructions apply on site.
If a venue refuses entry or removes a participant for breaking its rules, AOJ may treat the conduct as a breach of these Terms and may apply strikes or other restrictions.
Cancellation by AOJ
If AOJ cancels an Event entirely, affected members will be offered either a full refund of the Event booking fee or an alternative remedy described by AOJ, such as transfer to a replacement date, where practical.
Events outside AOJ’s control
AOJ is not responsible for a failure to perform caused by circumstances outside its reasonable control, including severe weather, transport disruption, venue closure, natural disaster, serious safety incidents or legal restrictions.
Where such circumstances require cancellation, AOJ will apply the organiser-cancellation approach described above.
PAID MEMBERSHIP

Elite Membership continues for the membership term unless cancelled or terminated earlier under these Terms.
One Free Cancellation
Once per membership term, an Elite member may cancel one eligible Event booking for a full refund, provided cancellation is completed before the Event start time.
Cash on the Day
Eligible Events may be booked with payment made in cash at check-in, provided the My Bookings Page shows the booking as Confirmed.
Event Discounts
Elite Membership may provide discounts of up to 20% on Event ticket fees. Rates and exclusions may vary between Events.
Free Patch
An Elite member may select one free patch from the options offered when registering, subject to availability.
Benefit limits and fair use
The free-cancellation benefit applies to one booking per membership term, regardless of the number of Events booked.
Benefits are personal and may not be sold, transferred or used by another member.
Excluded Events
AOJ may exclude certain Events from cash-on-day payment, including Events requiring venue prepayment, strict capacity control or third-party advance payment.
Any exclusion will be stated on the Event listing or at checkout.
Membership refunds
Unless required by applicable law, Elite Membership fees are non-refundable after the membership term has started, including where a member does not use the available benefits.
Failure to pay on the Event day
If a member uses cash-on-day booking and fails to attend or pay at check-in, AOJ may issue strikes, suspend cash-on-day benefits and require advance payment for future Events.
VOLUNTARY SUPPORT
Donations
A donation does not guarantee Event entry, priority booking, special treatment, membership benefits or any specific outcome.
MEMBER STANDING
Strike Policy and Member Conduct
Every member begins with five visible Stars. Stars may be removed when conduct affects safety, legality, Event operation or AOJ’s relationship with venues and community members.
Unsafe conduct
- Repeated rule-breaking
- Refusal to follow safety instructions
- Intentional unsafe play
- Creating an avoidable safety risk
Abuse or intimidation
- Verbal abuse
- ハラスメント
- Threats or intimidation
- Physical abuse or fighting
Illegal or prohibited conduct
- Theft or suspected criminal conduct
- Overpowered or illegal airsoft guns
- Drug or alcohol impairment
- Attempts to circumvent enforcement
Community and venue impact
- Credible complaints from members
- Credible venue or staff complaints
- Damage to AOJ’s venue relationships
- Serious disruption of an Event
Severity and immediate action
AOJ may remove one or more Stars depending on the seriousness of an incident. Exceptionally serious conduct may result in immediate removal or a ban without progressive strikes.
What happens at zero Stars?
A member who loses all Stars may be banned from AOJ Event bookings, participation and AOJ-managed social channels.
Evidence and decision-making
AOJ may consider reports from leaders, venue staff, photographs, video and credible member statements.
AOJ may withhold some evidence where disclosure could affect the privacy or safety of a complainant.
Requesting a review
A member may ask AOJ support to review a strike decision. AOJ may uphold, reduce or remove strikes based on the information available.
PARTICIPANT RESPONSIBILITIES
Safety and Equipment Compliance
Laws and venue rules
Participants must comply with applicable law, AOJ rules and all requirements imposed by the venue or field.
Chronograph checks
AOJ or venue staff may inspect or chronograph equipment and may refuse any airsoft gun considered unsafe, illegal or overpowered.
Protective equipment
Suitable eye protection is mandatory during gameplay. Any additional safety equipment required by the Event or venue must also be worn.
Fitness to participate
Each member is responsible for assessing their physical ability to participate and should seek medical advice where appropriate.
RISK & RESPONSIBILITY
Liability
Assumption of risk
Airsoft and outdoor physical Events involve inherent risks, including slips, trips, falls, impacts and equipment-related injury. Participants attend and participate at their own risk.
Limitations permitted by law
Nothing in these Terms excludes or limits liability where such an exclusion or limitation is prohibited by applicable law.
Where lawful, AOJ is not responsible for indirect or consequential losses such as travel expenses, accommodation expenses, lost income or loss of enjoyment arising from Event changes or cancellation.
Personal equipment and belongings
Members are responsible for their own equipment and personal belongings. AOJ is not responsible for loss, theft or damage except where liability cannot lawfully be excluded.
PHOTOGRAPHY & COMMUNITY
Media, Community and Operations
MEDIA & PHOTOGRAPHY
Event photography and video
AOJ may take photographs or video during Events for community, website, social-media and promotional use.
Members who do not want an identifiable image used should notify AOJ before the Event or inform a leader at check-in.
AOJ will make reasonable efforts to respect opt-outs but cannot guarantee exclusion from all incidental background footage.
COMMUNITY STRUCTURE
Volunteer leadership and reinvestment
AOJ leaders operate in a volunteer capacity.
Income remaining after direct Event costs may be used for website fees, taxes, payment-processing fees, equipment, props and other community operating costs.
Any remaining funds are reinvested into AOJ community activities.
ACCOUNT ENFORCEMENT
Suspension and Termination
AOJ may suspend or terminate an Account, cancel bookings or refuse service where a member breaches these Terms, breaches venue rules, creates a safety risk or creates a legal or operational risk.
Attempts to circumvent account requirements, payment requirements, booking restrictions or strike enforcement are treated as serious breaches.
LEGAL TERMS
Changes, Governing Law and Contact
Changes to these Terms
AOJ may amend these Terms from time to time. The Last Updated date will be changed when revised Terms are published.
Continued use of AOJ services after revised Terms take effect constitutes acceptance of those changes.
Governing law and jurisdiction
These Terms are governed by the laws of Japan.
Disputes will be submitted to the courts having jurisdiction over AOJ’s principal place of business unless mandatory consumer protection law requires otherwise.
Operator contact information
AOJ publishes its operator and contact information on the Specified Commercial Transactions Act Disclosure (特定商取引法に基づく表記) section of the website.

Standard bookings must be paid when booked, within seven days of booking or by an earlier deadline shown on the Event page.
Eligible Elite cash-on-day bookings are payable at Event check-in.

Membership: non-refundable after starting unless required by law.
A booking is not confirmed until payment has been completed or the My Bookings Page displays the status as Confirmed.
Guest bookings are not accepted.
